Create rules and mail filters on Microsoft Outlook to organize mail into folders

Those who use Microsoft Outlook as an Email client can organize e-mail messages in different folders according to the type of mail, according to the sender or the date.
When receiving numerous emails it is important to organize them in different folders but it is equally important that this distribution is automatic, so you always know in which category to look for certain types of messages.
In web.mail services such as Google Mail, Yahoo Mail, Hotmail and others, it is possible to create automatic filters for Email according to certain rules.
Also on the Microsoft Outlook program it is possible to create filters and rules to automate the organization of incoming mails in specific folders .
The process described applies to all types of email rules in Outlook.
For example, if you subscribe to the Newsletter to receive Navigaweb articles via email (from the registration form on the right), you may want the emails from " pom-heyweb " to be cataloged in a specific folder, perhaps called " computer news ".
1) Go to the Tools tab and choose the Rules and Warnings option.
2) In the Email Rules section, press the new rule button (or Change rule if you are modifying an existing one).
3) Under the Organize section, select the basic requirement (in this case it can be, move messages from a specific user to a folder ).
4) In the lower part of the window there is a section entitled " Step 2 " with the phrase Apply the rule when a message sent by ... arrives .
In this sentence, you have to click on the various links written in blue and change the options according to your needs.
Then click on " users " and indicate the Email addresses to be used as a filter (in our example, the navigaweb.net address with which the articles are received).
The list shows only the people added to the address book, therefore, you must make sure that you have added the Email address to the contacts before selecting it.
Then click on " move the message to the selected folder " and choose the folder where to find the automatically filtered emails.
In this case you can create a new folder from the selection window.
5) Click Next and optionally refine the rule by adding other parameters.
For example, including only messages with some specific words in the subject.
6) Next and indicate any exceptions to the rule.
7) Give a name to the automated filter and click Finish .
First, however, it may be convenient to put the cross on the option apply to messages already present and on active rule .
This ensures that new and past messages that meet the rule are moved to the corresponding folder .
If you want to shorten the process, if you don't need a more detailed rule, you can do the same, faster, by clicking on a message from the inbox and selecting Create rule .
This makes it much easier to select conditions and configure a filter that automatically moves messages to specific Outlook folders.
